How to set up a new club

All University of Brighton sports clubs are set up and governed by the Sports Federation. This is a group of elected students who look after the interest of all its registered clubs. By becoming a ratified Sports Federation club your club will have access to staff support, health and safety advice, facility use where available, funding opportunities, web pages and a freshers fair stall amongst other things. More info can be found by clicking here.To become an official club follow the guidelines below:

1) Check that your activity does not already exist on your campus. If it exists on another campus it may be worth contacting the club to see if they will help you set up a branch on your campus with your help. Using their experience it may help to establish a successful new activity.

2) If you still need to set up your activity then you will need to complete an application for affiliation. These can be found at a sport brighton reception or online by clicking here.

3) On this form you will need at least 3 committee members to set up your club. You will also need to get 20 signatures from current University of Brighton students to show support for your activity.

4) Hand in your form to a sport brighton reception.

5) You application will then be considered by the Sports Federation. Once approved you will be good to go subject to some health and safety checks.

Personal injury insurance

As Sports Federation Card holders you and your fellow club members are covered by the Endsleigh BUCS Platinum insurance cover. It is recommended that you read the cover of this policy and should you feel that you require additional insurance you should look to take out additional cover. You should however check to see if you are covered by your NGB's schemes as a result of affiliation. If you are unsure then contact the office.

Finance

Personal Student Claim Form (pre agreed claims)

If you have been told you can claim back travel or other costs involved in your sport then you need to fill in a Personal Student Claim Form. Just fill in the form and return it to a Sport Brighton reception. Upon receipt it should take 2-3 weeks to be refunded into your account. Please make sure of the following:

  • Your expenditure has been pre agreed by a member of the Sports Development Team.
  • You have attached a valid VAT receipt (debit card receipts not accepted).
  • You are a University of Brighton student and you have included your student number.
  • You have a valid Sports Federation Card and the number is included on the form.
  • You have provided accurate bank details for payment.

Sports Federation Club Grant or Loan Request Form

All Sports Federation clubs can apply for grants or loans to help fund their clubs activities. Bids can not be retrospective and must demonstrate that they will benefit the members of the clubs sporting need. A member of your clubs committee will then need to submit the form sport brighton office. Click here for the form.

Sports Club Claim Form to withdraw monies from clubs own funds

As a Sports Federation club you are given a banking facility with the Students' Union. This account can only be accessed by personnel from your clubs committee. Anyone can pay money into your account but only committee members can request funds. To request funds out of your account you need to complete the form here and get it signed by two committee members.

Blank risk assessment forms

All clubs need to have a current risk assessment. The risk assessment is made up of two forms. The first one identifies the potential hazards of your activity and the second details these hazards and the control measures in place to minimise the risk. The two part form can be found here.

Code of Practice template
A Code of Practice is your clubs guide to who does what and when. It is basically the blueprint for your club. This document is intended to be handed down each year so next years committee knows what to do and when. It also identifies areas of responsibility so your committee members are aware of their role and their duty of care. A template is provided here for you to use as a starting point.
Trip participation form
Going on a trip? You need to make sure the sports office knows who is going and where. If you club is undertaking different activities to normal then please make sure these are covered by your existing risk assessment. Be aware of the deadlines for these via your club committee handbook. Trip participation form can be found here.
 
Accident/ Near miss report form
No matter how minor an accident or if there was a near miss of a potential accident then this form needs to be completed. This is the case regardless of whether you were on or off site. If for example we keep sending students to 'University X' and they always come back with ancle injuries then we can report that as there might be a great trend. Click here for the form.

Travel

 

Minibus Use

The Sports Federation does not own any minibuses so all vehicles used are hired in. The Sports Federation subsidises the cost of hiring vehicles and sets a standard fee to all clubs of £55 per day (this includes hire of vehicle and insurance). Normally those who do not hold a category D1 licence can not legally drive a vehicle over 9 seats.

The University does have an exemption to this by displaying a valid Permit 19. Those without D1 on their licence must fulfil certain criteria and only use the vehicles for Sports Federation activities only. Part of this criteria is undertaking an hour practical assessment delivered by a MiDAS qualified assessor. More info can be found on the Minibus Drivers Leaflet. All drivers using our insurance must undertake the Sports Federation minibus assessment. Details of tests can be obtained by emailing the sports office.

How to re-register your club for next year

To re-register your club for next year you need to complete the form found here. It is recommended that once you have completed the form you attempt to do the following in this order (this is due to the form not working with older versions of Adobe):

1)Print the form out so you have a hard copy.

2) Attempt to Save the completed form.

3) Attempt to send via email either attaching the saved form or by clicking the send by email button. This will open up your computers default email programme such as Outlook.

Sport Brighton will confirm receipt of forms received. Failure to submit forms may result in information being delayed to new committee members, facilities not booked for next year and Fresher Stalls not being made available to your club.

If your club plans to go on a trip away from campus then please complete a trip registration form. This form can be found in the health and safety section.
